The App enables multiple stakeholders—such as field teams, finance teams, feasibility teams, and approval authorities—to collaborate securely within a single platform.

We collect only information that is necessary for lawful business purposes and the functioning of the App.

a. Personal & Account Information

When users are onboarded or invited to the App, we may collect:

  • Official work email address
  • Phone number (if applicable)
  • Role or designation within the organization
  • Company or organization name
  • Login credentials (securely stored and encrypted)

b. Role-Based Activity & Workflow Data

To enable approvals and collaboration:

  • User roles and access permissions

c. Property & Scouting Data

Depending on user role:

  • Property details and site information
  • Photographs, notes, and documents

3. Data Ownership
All property data, scouting information, documents, images, notes, comments, feasibility inputs, and approval records uploaded to the App by or on behalf of a client remain the exclusive property of that client.

Scoutpole Services LLP does not claim ownership over any client data and does not use such data for any purpose other than providing the services offered through the App.

4. Use of Information
Information collected is used strictly for:

  • Providing, operating, and maintaining the App
  • Enabling secure, role-based collaboration
  • Managing approvals and workflow visibility
  • Maintaining audit trails and accountability
  • Ensuring platform security and fraud prevention
  • Compliance with applicable Indian laws and regulations

Scoutpole Services LLP does not use client data for advertising, profiling, marketing, benchmarking, or unrelated analytics.

5. Client Data Isolation & Access Control
The App is built with organization-level data segregation, ensuring:

  • Each client operates in a secure, isolated environment
  • Clients can access only their own data
  • No cross-client access or visibility is permitted

Access within a client organization is governed by role-based permissions, ensuring users view only data relevant to their responsibilities.

6. Data Sharing & Disclosure
Scoutpole Services LLP does not sell, rent, trade, or monetize personal or client data.

Data may be disclosed only:

  • To authorized users within the same client organization
  • To third-party service providers strictly required for app operations, under confidentiality agreements
  • To comply with legal obligations under Indian law
  • To protect the rights, safety, or security of Scoutpole Services LLP, its users, or the public

Under no circumstances is one client’s data shared with another client.

7. Reasonable Security Practices
In compliance with the IT Rules, 2011, Scoutpole Services LLP follows reasonable security practices, including:

Despite best efforts, no digital platform can guarantee absolute security.

Upon termination of services, data may be deleted or anonymized, unless retention is required under applicable law or contractual obligations.
